Running a business is no easy task. Every new business has its own unique set of challenges and roadblocks, and starting your own copywriting business is no different!




All of the different aspects of running your business can leave your head spinning. When you try to get organized, you’ll see that there are so many options for online tools for copywriters. 




It can be hard to know what you actually need for your business and what is worth spending money on. 




I want to share some of the business and copywriting tools that I use every day in my copywriting business, many of which are free! These are the six must-haves online copywriting tools that can help you streamline your business from the actual writing to sharing it with clients and getting paid.

1. Google Workspace (the G Suite)

The Google Workspace (formerly known as G Suite) includes almost everything you need to successfully run a copywriting business. You may already have a Gmail account, which is excellent because you can use that account to take advantage of all the other tools that Google has to offer. 





As a copywriter, I use Google Drive EVERY. SINGLE. DAY to create, save, and share my work. It allows you to add other users to a document so that you can collaborate with ease. 





I use Gmail to communicate with clients and Google sheets for things like tracking finances. You can also use Google calendar, meeting rooms, forms, and more to interact with clients, schedule meetings, and send client questionnaires easily. 





Seriously, it’s INCREDIBLE that this platform is free. Familiarizing yourself with Google Workspace is one of the first things you should do as a copywriter. You’ll quickly come to rely on this tool every single day.

2. Project Management Software For Copywriters

When you start out as a copywriter, you probably won’t have any trouble just keeping up with projects in a planner or on your phone’s calendar. However, once you are juggling multiple clients with many different tasks, it becomes ESSENTIAL to find a better way to stay organized. 






“Project management software” is an umbrella term for the many different applications you may utilize as a copywriter. 






Some of the major platforms are 








They are similar, but all have unique features depending on your needs. 



These platforms are basically virtual project boards that help you visualize what needs to be done and when. You can use them as an individual or as part of a team. 


It’s highly likely that some clients will already be using this type of software and will add you to their team once you’re hired. This means it’s crucial to get comfortable with the different platforms, not only for your personal organization but also for keeping up with client work. 



Everyone has a different style of organization. You may find that you enjoy using one platform over another, but being familiar with a few of them makes your life much easier as a beginner copywriter and can help you keep your clients saying, “YOU’RE THE BEST!”. 




3. Canva For Copywriters

I can’t speak highly enough of Canva. This gem of a website is crucial for your business. There is a free version but the Pro version is a thousand percent worth it for how cheap it is.




You can think of this “copywriter” tool as an easy way to do graphic design and create visuals for your online copywriting business. You’ll likely use it to design work for your clients as well since you can use it to create PDF guides, social media graphics, and more. (As a freelance copywriter, you don’t have to offer design services, but Canva makes it so dang easy to create things and you can charge a pretty penny for them!)




They have templates for everything, including:

  • Powerpoints

  • Workbooks

  • Brochures

  • Flyers

  • Facebook group banners

  • Instagram stories, posts, & highlight covers





The features on Canva make it easy for you to create within your brand colors and fonts, which helps you maintain a professional and consistent image online. 





The free version of Canva is great, but once your business gets rolling, it’s definitely worth the extra to go for premium account. This gives you even more options for graphics, fonts, and images. 





Starting with your own personal projects on Canva, like social media posts, is a great way to get some experience with the site so that you can offer the same service to your clients. This is a great way to diversify your portfolio and charge more for your work. 







4. Dubsado For Copywriters

This is a fantastic online business management platform the best tool for copywriters. It automates your client’s journey, so you have more time to work on actually writing or doing things you love! 





Dubsado for copywriters can help you capture new leads, create and send out contracts, send automatic invoices, create funnels, keep track of projects, and more. I use this every day in my copywriting business and HIGHLY recommend it.

5. Copywriting Editing Apps

This is another umbrella term for many different platforms that are available to utilize as a copywriter. 





It’s always nice to have a second set of eyes on all of your copy so that you can be sure you are turning in the most polished work. When I was first starting out, I had friends and family review and edit my writing, which is a great option but definitely not sustainable for a full-time copywriting business.





Fortunately, there are some great tools online that can edit your work for you. I highly recommend Grammarly, which is a free chrome plug in that checks your work for errors. This is a great way to catch mistakes that you would have otherwise missed. 




I also use Hemingway, which analyzes your work and assigns a “readability” score. This is AWESOME when writing copy because it’s best to stay around a 7th-grade reading level. Hemingway can highlight sentences that may be a little too complicated and help you simplify your writing. 






There are other editing tools out there, and you can always google your grammar questions when you are unsure. Taking a little bit of extra time to edit your work, using these platforms can make you stand out as a professional copywriter AND help ensure that you turn in high-quality work. 





6. SEO Keyword Research

To really succeed as a copywriter, it’s VITAL to do keyword research before writing. This means figuring out what the audience is looking for and creating content that ranks for those keywords. 






There are actually quite a few keyword research tools that you can use to enhance your copy and bring your clients better results. 






Ubersuggest is a free platform that can show you how popular different keywords are and give you other keyword suggestions. Keysearch is another valuable tool that I often use to research keywords and create SEO-friendly content.

Utilizing keyword research helps you create optimized copy that drives traffic to your client’s websites. Playing around with a few of the many different keyword research tools available can help you become a much stronger copywriter.

 

7. PayPal 

Last, but certainly not least, you need a seamless way to get paid. PayPal is an excellent business tool because it allows you to send invoices, receive payment, and keep track of it all. 






Many copywriters funnel all of their business payments directly to PayPal as it’s a great way to receive payments in a professional manner. This makes it much easier to keep up with your income, as you can run reports or download your monthly statements.  






When you switch to a business account, PayPal takes a small fee of all your payments, but this fee can actually be written off as a tax deduction. It’s definitely worth the small fee to have a business account. 






Getting paid is, of course, one of the most important aspects of running a business, and PayPal makes it easy to receive those payments in one place. So, is this a top tool for copywriters? Absolutely.
